MiniCFO.io for bookkeepers and small accounting teams
You keep the books in QuickBooks. Your mobile service clients, like detailers, cleaners, and lawn crews, keep their receipts in the truck and their income in their heads. MiniCFO.io gives them a simple way to log money from their phone, and gives you files you can work with.
MiniCFO.io is a simple AI financial assistant for busy mobile service businesses. It works side by side with QuickBooks through file import and export.
Who it's for
- Bookkeepers and small accounting teams with mobile service clients who never send a clean list of what came in and went out.
- People who keep the books at a larger company and want a small team, like a field crew or a side business, to log day-to-day income and expenses in MiniCFO.io, then bring the numbers into QuickBooks.
Works side by side with QuickBooks, by file
Nothing moves between MiniCFO.io and QuickBooks until someone imports or exports a file. Three files do the work:
- QuickBooks import: upload a QuickBooks Profit and Loss Detail report as an Excel or CSV file (.xlsx, .xls, or .csv, up to 10 MB). MiniCFO.io detects the report, uses the QuickBooks account sections as categories, and shows a preview before anything is added.
- QuickBooks export: a Journal Entry CSV with one balanced entry per transaction. Income debits "Cash and cash equivalents" and credits the transaction's category. Expenses debit the category and credit "Cash and cash equivalents."
- CSV export: a plain transaction list with date, type, description, category, amount, and payment method.
Category names become account names in the Journal Entry CSV. Before you import it into QuickBooks, check that the categories match accounts in your chart of accounts, and point "Cash and cash equivalents" at the right account if you need to.
What your clients or team do in the app
- Log income and expenses from their phone in a few taps, and tag each payment by payment method.
- Scan receipts: the AI pulls out the merchant and amount, and they check them before they log.
- Use quick-add templates for repeat work, and tap Log again for repeat customers.
- Keep a mileage log at the IRS standard rate for each trip's date. Trips are saved on the device they use.
- See a tax set-aside estimate card with the next quarterly due date. It's an estimate, not tax advice.
- Ask plain-English questions about their own numbers (AI Insights), and see a 6-month cash flow projection and a weekly summary.
That means fewer "what was this charge?" emails, and month-end files that already have categories on them.
A simple monthly routine
- During the month: your client or team logs income and expenses and scans receipts as they go.
- At month end: they export the Journal Entry CSV (or a plain CSV) and send it to you.
- You review: check categories against your chart of accounts and fix anything that looks off.
- You import into QuickBooks and do your reconciliations and reports there, as usual.
Honest limits
- Not a replacement for full double-entry accounting at larger firms. Keep your general ledger, reconciliations, and year-end work in QuickBooks. MiniCFO.io is the simple front end for the people doing the work.
- No payroll. Run payroll in the system you use today.
- No bank or card connections. Transactions are logged by hand or from a scanned receipt. Nothing is pulled in from a bank, so match against statements in QuickBooks.
- Mileage stays in the mileage log. Trips are saved on the device and aren't part of the CSV or Journal Entry exports.
- No tax returns. The tax set-aside card is an estimate, not tax advice.

How MiniCFO.io works
- Log it from your phone. Add a job, an expense, or a receipt in a few taps between jobs.
- See your numbers and tax set-aside. Your income, expenses, and tax set-aside estimate update as you log, and the due-date card shows the next quarterly due date.
- Ask the AI or export for your bookkeeper. Ask the AI questions about your numbers in plain English, or export a CSV or QuickBooks file for your bookkeeper.
