What's inside every spreadsheet
- Start Here: how to use the sheet in a few steps.
- Income: one row per payment, with date, client or job, amount, and how you were paid.
- Expenses: one row per purchase, with a category dropdown made for your trade and a "Receipt kept?" column.
- Mileage: one row per business trip. Each trip uses the IRS 2026 business rate for its date: 72.5 cents per mile from Jan 1 to Jun 30, 2026 and 76 cents per mile from Jul 1 to Dec 31, 2026. Both rates are cells you can edit when the IRS changes them.
- Tax Set-Aside: you choose a set-aside percentage (25% is only a placeholder), and the sheet shows a rough amount to put aside for each IRS estimated tax period, with the due dates. It also shows the self-employment tax part on its own (15.3% on 92.35% of net profit, as in the IRS Form 1040-ES worksheet). It's an estimate, not tax advice.
- Monthly Summary: set the year, and income, expenses, miles, and a net profit estimate fill in by formula, plus a breakdown of expenses by category.
The sample rows use a made-up business, so delete them before you start. Cells with a light green fill are for typing; the rest are formulas. Open the file in a spreadsheet app so the formulas calculate, since some quick file previews on phones may not show the totals.
When a spreadsheet stops keeping up
A spreadsheet works well if you keep it current. If typing everything in at night keeps slipping, MiniCFO.io does the same jobs from your phone: log income and expenses in a few taps, scan receipts, keep a mileage log, see a tax set-aside estimate and a 6-month cash flow projection, and ask plain-English questions about your own numbers (AI Insights). MiniCFO.io is a paid app, and the price is $10 for the first month, then $35/month, no contracts. For an honest look at both, see MiniCFO.io vs a spreadsheet.
Tax and mileage figures in these spreadsheets are estimates, not tax advice. Rates and rules change and your situation matters, so check with a tax professional.
